Job Opening: Events and Community Manager

Location: Full Time, Remote

Out-Of-Pocket is trying to make the business of healthcare easier to understand. We’ve been doing this through the newsletter, courses, events, online community and more.

We’re looking for someone to take our event and community operations to the next level, handling everything from ideation to execution. 

Community is a core part of the Out-Of-Pocket strategy - we’re very intentional about creating spaces where the audience is curated and the event style is intimate. These include in-person events as well as virtual communities.

The Role:

This role involves managing two inter-related products.

  • Out-Of-Pocket events - Out-Of-Pocket hosts several in-person events throughout the year including 1-2 hackathons, a small 80 person conference called Knowledgefest, sponsored dinners and happy hours In the future we may increase the number or size of these events.
  • The Out-Of-Pocket Slack - The Out-Of-Pocket Slack group is a group of 200+ members in a highly curated community. These are some of the sharpest and highest potential people in healthcare, and champions of the brand. We have regular virtual meetings, coworking days, a yearly retreat, and are constantly figuring out ways to make valuable connections. The Out-Of-Pocket Slack members are the first people we tap on to help out with conferences, participate, lead talks, etc. They are our friendlies at events and act as champions for the brand within their respective companies.

Skills Needed:

  • Being one step ahead of everything - One of the biggest parts of the role is being able to look around corners and imagine experiences as an attendee. In doing so, you are able to think about every detail before it even happens.
  • You love to host - Creating a good online or offline experience is all about giving strong hosting energy and being excited about gathering people. Your energy sets a huge tone for the experience of the attendees.
  • Focused on quality - from the food vendors we use down to the types of cups we purchase, you care about each touchpoint of the attendee experience. This doesn’t mean buying the most expensive options, but it does mean focusing on the quality.
  • Organized – You’re on top of timelines, budgets, tasks to be done, and every moving piece. You love to build documents/project management docs that actually get used and maintained so that our future programming can run even faster.
  • Strong communicator – Whether it’s rallying vendors or coordinating with the team or explaining to the community members what’s happening next - you keep everyone in sync. Especially because we are all remote and managing several events concurrently.
  • You get energized by crisis (the good kind) – When things don’t go according to plan (and they won’t), you adapt and keep your cool. This is your element!

Responsibilities:

Event Execution:

  • Plan and execute events from start to finish, ensuring they run seamlessly.
  • Coordinate vendors, venues, and logistics with an eye for detail.
  • Be on-site during events to oversee operations and tackle any last-minute challenges.

Slack Group Management: 

  • Create and manage programming that’s valuable to members. Monthly talks, organizing coworking days, facilitating small group discussions, and more
  • Create documentation that can help members navigate the group, shared resources, etc.
  • Manage the onboarding process and develop relationships with members so we know who to tap on for different OOP events
  • Plan the yearly retreat

Creative Strategy:

  • Collaborate with leadership (aka Danielle and Nikhil) to dream up new event concepts and engagement strategies for event attendees and the slack members.
  • Experiment with layouts, activities, and other elements to make each engagement unique.
  • Constantly gather feedback to refine and improve future events.

Communications, Operations & Back-Office:

  • Create and maintain event project plans, budgets, and timelines.
  • Work with our internal team to create websites and manage the application flows (our events and slack group require an application)
  • Manage the content calendar, including marketing over socials, communication within slack
  • Communicate with sponsors to coordinate details of their involvement
  • Source and research vendors within different cities.
  • Track and manage event expenses to stay within budget.
  • Choose tools and platforms that streamline operations (project management software, invoicing, etc.).

Qualifications:

  • 2+ years of experience in event planning or project management. Does not need to be in the form of direct job experience.
  • Experience managing on-site event operations and troubleshooting in real-time.
  • Comfort with tools like Notion, Airtable, Google Suite, and project management platforms.
  • Bonus points if you’ve worked on events in healthcare or tech, though not required (anyways we do them really really differently)
  • Must be able to work in the US.

Compensation and Benefits:

We offer the following: 

  • $60-80K per year
  • Health Insurance Stipend
  • 15 days PTO
  • Half of our events will be in SF, Half will be in New York, and occasional events will be in other cities. This will require travel for 4-5 weekends a year. Occasional site visit travels may also be required.
